Hike to the A (Sunday, August 20th, 2023 from 8:00 a.m. - noon) - Hike to the A occurs during Fall Ram Welcome week and is where CSU Alumni and first-year students hike to the A together as part of a tradition for first-year students when welcoming them to campus. Paint the A (event is Saturday, August 26th, 2023 from 8:00 a.m. - 2:00 p.m.; however with set-up and clean-up included the event is from Friday, August 25th, 2023 at 8:00 a.m. - Saturday, August 26th, 2023 at 3:00 p.m.) - Paint the A is a tradition where CSU alumni and students help repaint the A before the first football game of the season. Light the A (event is Friday, October 13th, 2023 from 7:30 p.m. - 9:00 p.m.; however with set-up and clean-up included the event is from Thursday, October 12th, 2023 at 8:00 a.m. through Friday, October 13th, 2023 at 9:00 p.m.) - Light the A is a tradition where the A is lit up in lights during CSU's Homecoming & Family Weekend's Friday Night Lights.

1. Date Submitted: 05/04/2023Emergency Plan: CSU Alumni Association (specifically Kaley Platek and Sophie Matthews) will be in charge in case of an emergency. Both Kaley and Sophie in addition to other staff will be on-site. All emergencies will be called in to 911 regardless of extremity. Staff will communicate to each other via cell phone. Staff will also be onsite at the Smith Alumni Center for back-up if needed. No additional permits are needed with EMS or fire. We will be shuttling attendees via bus to the trailhead (for Hike to the A) and the top of the trailhead (top of A) for Paint the A and Light the A. The bus will stay on the paved road, but will be out of traffic's way and will only be there temporarily to unload and pickup. Participants will be parking on the CSU Campus for Hike to the A and Paint the A. For Light the A, Melissa Bokovitz (melissa.bokovitz@colostate.edu) will follow up with Larimer County with vehicle-needs. There will be no port-a-potties or handwashing stations needed as it is not applicable for these events. Alcohol will not be served. Food will not be served. We have done this event every year, and always send CSU's updated COI to you on August 1st when it is renewed. We are a state agency, our EIN is 84-6000545. The attached sales tax exemption letter and cert contain the info you should need. Attached is also a rull map of the locations for the bus.

This is our current Certificate of Insurance. It will be renewed on August 1st, and can't be renewed any earlier. We have it on our calendars to check in then, get the updated copy, and send it over to you.

Comments: -Per the application, no food will be served as part of the event. If participants bring their own foods that require refrigeration (foods containing meats, cheeses, cut produce, or other items requiring refrigeration) hard-sided coolers shall be provided with ice packs to ensure the food remains below 41*F before service. -Adequate access to restrooms is required. Based on the location, there should be access to park restrooms and access on campus. -If participants will be eating at all, a portable handwashing station is recommended for washing hands before eating. This could include a camping handwashing station setup with a water jug with control valve, hand soap, paper towels, a trash bag/can, and catch bucket for the wastewater (to be disposed at the trailhead restrooms or back on campus). At a minimum, handwipes and sanitizer are recommended. -Please ensure potable/treated water is available for attendees during this outdoor event. This may be achieved by providing commercial bottled water; or from approved clean and sanitized dispensers such as hard-sided beverage dispensing coolers/receptacles of potable water. -Since this is an outdoor event on an exposed mountainside, it is recommended that shade be provided for attendees to take cooling breaks if not already provided by the coordinators.Larimer County Emergency Management
